NATIONAL OFFICIAL BUSINESS REGISTER OF THE NATIONAL ECONOMY ENTITIES – REGON

The rules for registration, updating, and deletion of entries in the REGON register are set out in the provisions of the Act on Official Statistics (Journal of Laws of 2016, item 1068, as amended) and in the Regulation of the Council of Ministers of 30 November 2015 on the method and methodology of maintaining and updating the National Official Register of National Economy Entities, as well as templates of applications, forms, and certificates (Journal of Laws of 2015, item 2009, as amended).

Entrepreneurs registered in the Central Register and Information on Economic Activity (CEIDG)

Since 1 January 2012, entrepreneurs (natural persons conducting business activity) no longer submit applications for registration, changes, or deletion directly to the Statistical Office. Information on entities is transferred to the REGON register from the CEIDG electronically.

The Statistical Office is obliged to immediately register the received notification.

Entrepreneurs registered in CEIDG may contact the REGON unit directly in the following cases:

  1. When registering, updating, or deleting activities not subject to CEIDG registration (e.g. medical entities not registered in CEIDG, agricultural holdings, agritourism activities, court bailiffs). In such cases, the RG-OF form is required.
  2. When requesting an updated certificate of REGON identification number (sample request form for issuing a certifica).

Entities registered in the National Court Register (KRS):

Since 1 December 2014, following the entry into force of the Act of 26 June 2014 amending the Act on the National Court Register and certain other acts (Journal of Laws 2014, item 1161), the method of updating information in the REGON register has changed for entities subject to entry in the National Court Register (KRS). Entrepreneurs that are not natural persons, registered in the business register, as well as entities registered in the register of associations, other social and professional organisations, foundations, and independent public healthcare institutions, are not required to submit applications in the REGON register. The data necessary for updating information on entities entered in the REGON register are transmitted electronically from the KRS and CRP KEP systems.

To the Statistical Office (REGON register unit), an entrepreneur or another entity registered in the National Court Register (KRS) may apply directly in the following cases:

  1. When requesting an updated certificate of the REGON identification number. Such a request requires written authorization to represent the entity (sample request form for issuing a certificate),
  2. When registering a company in formation (RG-OP form),
  3. When reporting an organisational unit of a company (branch or establishment) to be entered in the REGON register as a local unit (RG-OP form)..

Kindergartens, schools, educational institutions, and other organisational units (including complexes) of the education system entered into the Education Information System:

Since 1 August 2012, entities subject to entry in the Register of Schools and Educational Institutions (RSPO), which form part of the Education Information System (SIO) database, update their data exclusively within the SIO. This information is transmitted to the Statistical Office electronically, and on this basis entries, changes, and deletions of educational institutions are made in the REGON register.

All educational units registered in the REGON register as organisational units without legal personality are assigned a nine-digit REGON identification number.

An educational institution may directly contact the Statistical Office (REGON register unit) to request an updated certificate confirming the REGON identification number. Such a request requires written authorization to represent the entity (sample request form for issuing a certificate),

Entities subject to REGON registration, but not registered in KRS, CEIDG, or SIO (e.g. civil partnerships, housing cooperatives, funds, universities):

The notification is submitted using the RG-OP form together with supporting documentation to the appropriate Statistical Office competent for the entity’s registered address. The person submitting the application must have written authorization to represent the entity, as well as documents confirming the establishment of the entity, changes to registered data, or deletion of the entity. Entities not subject to registration in CEIDG, SIO, or KRS may submit RG-OP applications to the Statistical Office in Warsaw in person, by post (ul. 1 Sierpnia 21, 02-134 Warsaw), or via the electronic public administration services platform (ePUAP).


Issuing of Certificates:

In accordance with Article 43(3) of the Act on Official Statistics, statistical offices issue certificates confirming the REGON identification number upon request of an entity registered in the REGON register..

Applications for issuing a certificate may be submitted in person at the Office, sent by post, submitted via e-mail, or via the ePUAP platform.
Since 1 October 2019, REGON register services are provided exclusively at the Office’s premises.
